We at Runnr.ai are committed to protecting your personal data. In this Privacy Policy we describe how we collect and process your personal data. We also inform you what rights you have in relation to your personal data we process and how you can exercise such rights.

A reference to ā€œRunnr.aiā€, ā€œweā€ or ā€œusā€ is a reference to RUNNR.ai B.V, the data controller of your personal data as described in this Privacy Policy.

When we use the term “personal data”, we mean any information relating to an identified or identifiable individual.

When does this Privacy Policy apply?

This Privacy Policy applies only when we process personal data as a ā€˜data controllerā€™, for example, when:

  • we collect your personal data when you visit our website;
  • we receive your personal data via a webform or other communication channel (for example, when you reach out to us for a demo);
  • you participate in a Runnr.ai event;
  • you interact with the Runnr.ai platform and we collect information for which we act as a data controller (such as when processing feedback or usage metrics).

This Privacy Policy does not apply to our processing of personal data on behalf of our customers (as a ā€˜data processorā€™). When you are a guest of one of our customers, please contact the relevant customer to understand how and why they process your data when they use the Runnr.ai product and services. When you receive messages from Runnr.ai in relation to your hotel booking (for example, via the Runnr.ai Whatsapp account), please know that we process your personal data on our customerā€™s behalf and our customer (the hotel of your booking) acts as data controller.

1 – The personal data we process, the purpose, and the legal basis

We may process a variety of personal data for a variety of purposes. In this section we explain what personal data we may process for different purposes. We also explain what the legal basis is for such processing under the GDPR.

Communication and support

We may collect the following information from you when you contact us or when you provide us with your personal data via a form, sign up for an (online) event, or otherwise share your contact details with us: full name, email address, telephone number, and any information you voluntarily share with us.Ā 

We process this information to communicate with you, provide the content you requested, handle your event registrations, or to otherwise support you.

Legal basis: we process this information based on our legitimate interests.

Providing our website

In order to provide our website to you and to continuously improve your user experience of our website, we automatically collect and process the following personal data: IP address, browser type, domain name, operating system, location.

We use cookies and similar technologies on our website to understand how our website is used and to improve your experience when browsing our website.

Legal basis: we process this information based on our legitimate interests.

Sending marketing messages

We are excited about our product and we hope others are equally excited. We send out marketing emails (such as our newsletter) and other types of marketing communication to promote our products and services. For this purpose, we may process your: full name, email address, and telephone number.

If you no longer wish to receive our marketing communication, you can unsubscribe directly from our email or you can contact us via info@runnr.ai.com.

Providing third party marketing and advertising

We may provide you with advertising and marketing materials of other parties via e-mail address or by different means. For this purpose, we may process your: full name, email address, information about your browsing behavior, information about the company you work for, and your role.

Call recordings

We may record calls with our customers and prospects for training purposes, to improve the quality of our support services. Call recordings can also give us better insights into customer needs which helps us make strategic decision on how to improve our product and services. Product usage dataĀ 

When you use the Runnr.ai platform under a free or paid subscription, we log certain technical information automatically to provide our product to you. The information may include: IP address, device type, operating system type and version, product version, date and time stamps, cookies, and browser type.Ā 

To understand what features are successful and what features are not worth investing in, we also collect information about what features you use and how you use them. Product usage data will mostly consist of technical, anonymized and aggregated data, however it may also contain limited information that could qualify as personal data under applicable laws.

Expanding our business via sales activities

To grow our business, we rely on outside sources to gather info from public sources on potential new customers. This info mostly relates to companies, such as how big they are, and may also contain information on relevant individuals at those companies who we may wish to reach out to. We use this info to make sure we are talking to the right people and companies who could benefit from our products and services. For this purpose, we may process: full name, email address, IP address, your location, and your job title.Ā

Managing customer subscriptions

When you provide us with your personal data when subscribing to the Runnr.ai services, we process your personal data to manage the relevant account, such as: communicate with you, and manage invoices and other account-related administrative or contractual matters, document when you subscribed and when you agreed to the Runnr.ai Terms of Service. We may process the following personal data: full name, private or company email address, phone number.

Legal basis: we process the data to fulfill our (pre)contractual obligations or for our legitimate interests.

2 – When and how we share your personal data

We may share or provide access to your personal data to the following categories of third parties.Ā 

Service providers

We use a variety of service providers when processing your personal data for the purposes described above. For example, we use Hubspot as our CRM platform and Lusha to enhance our sales activities by collecting valid prospect information. Other services that are offered by third party service providers may include: hosting, telecommunication services (such as when you send us an email at info@runnr.ai), marketing services (for example, we use third party software to create and send our newsletters), online advertising, payment services, and accounting.Ā 

Partners

We may collect your personal data from and disclose your personal data with our partners, such as when you register to our event or an event of our partner.

Third party websites.
Our website may contain links to websites, plug-ins, or applications of third parties, such as social media platforms. These third parties may collect your personal data when you engage with their links, plug-ins, or applications. Please know that we do not control the way these third parties may process your personal data and this Privacy Policy does not apply to the processing activities of these third parties.Ā 

Affiliates.
We may disclose your personal data to other companies in the Runnr.ai group.Ā 

Corporate counterparties.
We reserve the right to disclose and transfer your personal data in connection with a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all Runnr.ai assets.Ā 

Government authorities.
We may disclose your personal data with government authorities, legal advisors, or law enforcement agencies to comply with court orders, enforcement actions, and applicable laws, rules, and regulations.

Third parties that receive your personal data may be located outside of the European Economic Area (ā€œEEAā€) or they may use servers located outside of the EEA. We will only transfer your personal data in compliance with applicable laws, such as the GDPR. We will ensure a valid transfer mechanism is in place and, where required, we will implement additional adequate protective measures to ensure your personal data is sufficiently protected. In particular, where required, we may conclude the standard contractual clauses published by the European Commission with third parties.

We have implemented measures to protect your personal data from unauthorized access, destruction or modification. Withdrawal of your consent: when you have given us your consent to process your personal data for a certain purpose, you may withdraw your consent at any time. In that case we will stop processing the relevant information unless we are legally required to keep such data.

Right to object: if we process your personal data based on our legitimate interests, you have the right to object to the relevant processing activity.Ā 

Right to data portability: you may have your personal data transferred to another controller, to the extent possible;Ā 

File a complaint: you have the right to complain to a data protection authority about our collection and use of your personal data.

We do not use any automated decision making techniques that have a legal or similarly significant effect on you.Ā 

How to exercise your rights?

We may ask you to provide us with further information if we are unable to find your personal data or if we require proof of your identity. Please know that we may not always be able to fulfill your request, for instance if we have a legal obligation or a legitimate interest to keep your information.Ā
